1. Who we are
TheHawk provides workflow and property-management tools for real estate agents. Questions about this policy or requests concerning your personal information can be sent to support@thehawk.io.
2. Information we collect
Depending on how you use TheHawk, we may process:
- account information, such as your name, email address, organization, and login details;
- client, property, application, appointment, and viewing information that you enter or receive through the service;
- documents and files that you choose to upload or import;
- billing and subscription information, with payment-card details handled by Stripe;
- technical and usage information, such as device, browser, log, and product analytics data; and
- information from services you connect, including Google Calendar, Microsoft Outlook, OneDrive, Telegram, and other integrations you enable.
3. Google Calendar data
If you connect Google Calendar, TheHawk receives your Google account identity, OAuth authorization tokens, and access to the calendar scopes you approve. We use that access only to:
- create, update, and remove calendar events for viewings and appointments managed in TheHawk; and
- read free/busy time ranges so TheHawk can avoid offering conflicting appointment slots.
TheHawk does not import existing calendar events as viewings and does not read the titles, descriptions, locations, or attendees of your existing events when checking availability. You can disconnect Google Calendar in Settings or revoke access from your Google Account at any time.
TheHawk's use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including the Limited Use requirements.
4. How we use information
We use personal information to provide and secure the service, manage accounts and subscriptions, match and communicate property opportunities, coordinate appointments, deliver notifications, support users, improve product performance, prevent abuse, and meet legal obligations. We do not sell personal information.
5. When we share information
We share information only as needed with service providers that help us operate TheHawk, such as cloud hosting and storage, email and messaging, analytics, maps, AI processing, calendar providers, and payment processing. We may also disclose information when required by law, to protect users or the service, or as part of a business transaction. These providers may process information only for the services they supply to us and under appropriate safeguards.
6. Cookies, analytics, and advertising
On our public marketing pages, we may use cookies and similar technologies from PostHog and Meta Pixel. These services may receive technical and usage information such as your IP address, browser and device details, pages viewed, interactions, and online identifiers. We use this information to understand product usage, measure site performance, and evaluate our marketing.
You can limit or opt out of this collection by blocking or deleting cookies in your browser, using tracker-blocking controls, and managing your advertising preferences with Meta. The Privacy Policy and Terms of Service pages do not load these analytics or advertising trackers.
7. Storage, security, and retention
We use technical and organizational safeguards designed to protect personal information. Integration credentials are stored in protected form and access is restricted to what the service needs. We retain information only for as long as necessary to provide TheHawk, meet contractual and legal obligations, resolve disputes, and protect the service. Retention periods can vary by data type and account status.
8. Your choices and rights
You can update account information, disconnect integrations, or delete your account through the service where those controls are available. Depending on where you live, you may also have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information, and to withdraw consent. 9. International processing
Our providers may process information in countries other than your own. Where required, we use recognized safeguards for international transfers of personal information.
10. Children
TheHawk is a business service and is not directed to children. We do not knowingly collect personal information from children through the service.
11. Changes to this policy
We may update this policy as TheHawk or applicable requirements change. We will post the updated version here and change the effective date. Material changes may also be communicated through the service or by email.
